How to Edit a DOCX After PDF Conversion
After you convert a PDF to Word, the DOCX is editable — but it may not look perfect yet. A short cleanup pass usually saves more time than fighting broken layout. Use these practical steps in Microsoft Word, Google Docs, or LibreOffice Writer.
1. Start with Styles, not manual formatting
Select a heading and apply Heading 1 / Heading 2 styles instead of only enlarging the font. Consistent styles make navigation panes, tables of contents, and future PDF exports much cleaner.
2. Fix spacing and “mysterious” empty paragraphs
Converters sometimes insert extra line breaks. Turn on formatting marks (¶) in Word and delete empty paragraphs that create large gaps. Prefer spacing settings on styles over repeated blank lines.
3. Rebuild problematic tables
If a table’s borders or cells look chaotic, copy the text into a new table with the correct column count. Trying to repair a heavily nested converted table is often slower than rebuilding it.
4. Handle images intentionally
- Resize images with corner handles to keep aspect ratio.
- Set text wrapping (In Line with Text is usually safest for long documents).
- Replace low-quality transferred images from the original PDF when needed.
5. Lists and indentation
Bullets may convert as plain text with symbols. Select the lines and reapply Bullets or Numbering. Adjust left indent so nested lists align consistently.
6. Headers, footers, and page numbers
Converted headers sometimes appear in the body. Cut them out of the body and recreate true headers via Insert → Header/Footer. Add page numbers once, not as typed text on every page.
7. Fonts and special characters
If characters look wrong, the original PDF may have used embedded fonts you do not have. Choose a close substitute (Calibri, Arial, Times New Roman, or a font your brand requires) and apply it via styles for consistency.
8. When the layout is too broken to save
For scanned or highly designed PDFs, create a new blank document and copy section by section, reformatting as you go. Use the PDF as a visual reference in a second window. This “manual rebuild” is often faster than repairing a tangled conversion.
9. Finish with a PDF export if needed
